The company already uses several programs. Why is data still copied?
Copying is not a discipline problem. It is the sign that two tools do not share the figure someone needs for the next step.
The manual bridge
Each program solves its slice: invoicing, orders, email, a tracking sheet. Joining them falls on one person. While the volume fits, it looks under control. When it grows, the mistake is a customer with two names or a status that does not match.
Buying a fifth program does not remove the copy if nobody decides which system owns the data. Without that decision, an integration only duplicates faster.
Custom development is not required on day one. Sometimes both systems already export or expose an API, and the work is to agree which field wins.
What can be done
Name the source of each figure that hurts: customer, order, price, status. One owns it. The others read it or are updated from it.
Connect what can already be connected. If that is not enough, a custom piece is considered: a queue, an internal screen, a shared identifier.
Stop measuring success by the number of integrations. The observable result is that a person stops retyping the same record.
When it fits
- The same customer exists in two places with different data.
- A weekly report exists only to join exports.
- IT or the provider can open access and someone still has to define the flow.
- A software change is being considered only because the tools 'do not talk'.
Possible deliverables
The source
Which system owns each figure, and what happens if it is edited in the other.
The connection
One automatic step, with a log and an exception when the data does not match.
The custom gap
Only when a standard connection does not cover the business rule.
Order of work
Means
- APIs of the current programs
- Controlled CSV or exports
- Python
- A shared table
- Internal development only if needed
A typical situation
The CRM customer and the invoicing customer
Duplicate records and different addresses. The work is not 'integrate the ERP with the CRM' in the abstract. It is deciding where the customer is born and which field travels.
Common mistakes
- Integrating the whole field catalogue.
- Changing software to avoid a data conversation.
- Leaving two editable places without saying which wins.
- Not telling the team the day the copy stops being their job.
Frequently asked questions
Do we have to drop a program?
Almost never as the first step. First see whether they can share the figure that hurts.
Is this a full integration project?
It can be. It can also be one bridge. The guide does not force the large version.
What if the provider will not give access?
That is known early and it changes the plan. An impossible connection is not designed.
Is the technical detail here?
Integration and internal-systems detail lives on those pages. The criterion is here.
Does the spreadsheet disappear?
Not as a promise. Its job is examined. If it referees two programs, that use can be replaced.

Is someone copying the same data between two programs?
Tell me which ones, and which field is retyped. That shows whether this is a bridge or a rule.
